Job Summary:

We are looking for an Executive Assistant who will serve as the right hand to our CEO, handling a wide range of administrative and executive support tasks. The successful candidate will be responsible for managing the CEO's schedule, communications, and ensuring the efficient operation of the executive office. This role requires discretion, exceptional organizational skills, and a proactive approach to support our CEO's productivity.

Key Responsibilities:

  • Calendar Management: Efficiently manage the CEO's calendar, scheduling meetings, appointments, and travel arrangements.
  • Communication: Act as a primary point of contact for internal and external stakeholders, handling inquiries, emails, and phone calls.
  • Information Management: Maintain confidential files, documents, and records with the utmost discretion and accuracy.
  • Meeting Preparation: Assist in preparing and organizing materials for meetings, presentations, and reports.
  • Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, and transportation.
  • Event Planning: Support in planning and coordinating company events, conferences, and CEO's participation in external engagements.
  • Documentation: Draft and review correspondence, reports, and presentations with attention to detail.
  • Research: Conduct research and compile information for decision-making and strategic planning.
  • Task Prioritization: Help the CEO prioritize tasks, ensuring time is optimized effectively.
  • Team Collaboration: Collaborate with other members of the leadership team and departments to facilitate communication and workflows.
  • Special Projects: Assist in ad-hoc projects and initiatives as required by the CEO.

Qualifications:

  • Bachelor's degree in Business Administration or related field preferred.
  • Proven experience as an executive assistant supporting C-level executives.
  • Exceptional organizational and time management skills.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills.
  • High level of discretion and ability to handle confidential information.
  • Strong problem-solving skills and adaptability.
  • Detail-oriented with a strong focus on accuracy.
  • Professional and polished demeanor.
  • Ability to work under pressure and meet deadlines.
